JOB SUMMARY
The Board Liaison position provides direct support to the BSO’s Board of Directors, Board Committees, and the Baltimore Symphony Endowment Trust. As such, this position maintains strong relationships with board members, schedules board and committee meetings, establishes agendas in coordination with board and executive leadership, collates and distributes meeting material, and takes meeting minutes.
The Board Liaison must have excellent written and verbal communication etiquette for communicating with a wide range of internal and external stakeholders. This individual will also have excellent organizational and presentation skills, high proficiency in scheduling and managing details, be able to adapt to changing priorities, and represent the BSO in a professional manner. Discretion and confidentiality is of utmost importance to this role. The position works in close collaboration with the Executive Assistant to Executive Staff.
SALARY: Salary range is $60,000.00 – $70,000.00 commensurate with experience, expertise, and other qualifying factors.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Coordinate and communicate the schedule of board, endowment, and committee meetings and related social events, working closely with all relevant staff liaisons and with a sensitivity to balance, efficiency, and effectiveness
• Prepare board, endowment and committee meeting agendas and material packets in consultation with the Board Chair, Committee Chairs, and relevant Executive Team members and/or staff liaisons
• Record, compile, and distribute minutes of board, endowment and affiliated meetings including participation and attendance records
• Maintain accurate and accessible records of all board and endowment documents and communications
• Ensure board, endowment and committee members receive appropriate documents in advance of meetings for adequate preparation
• Provide administrative support to the board, endowment trust, and its committees as required
• Ensure the board and endowment trust complies with legal requirements and internal policies
• Supports the regular updating of board, endowment, and key community volunteer leader records (including President’s Roundtable) in Tessitura, the BSO’s CRM, and Patron E-Files
• Facilitate communication between volunteer leaders and the Executive Team, and serves as a regular point of VIP support for board, endowment and volunteer committee ticketing and benefits needs (including event registrations, etc.)
• Supports the President & CEO and SVP & CACO in all board and endowment trustee fundraising and recruitment communications and meetings including calendaring.
• Monitor board membership terms and facilitate the renewal or replacement process
• Assist in board member orientation and training
• Maintain board and staff directories, organizational charts, and distribution lists
• As necessary, provide administrative support to the President/CEO and other Executive Team members in coordination with the Executive Assistant to the Executive Staff
• “Learn the BSO” to understand the context and purpose of meetings, meeting minutes, and correspondences.
• Take on special projects as needed
QUALIFICATIONS
• Proven work experience in a similar role or as an executive assistant
• Understanding of corporate governance principles and board relations
• Excellent organizational, communication, and interpersonal skills
• High level of discretion and confidentiality
• Strong decision-making and problem-solving abilities
• Ability to work under pressure and meet tight deadlines
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
• Must be flexible, resourceful, and proactive
• Must have experience working in a dynamic, fast-moving work environment
• Demonstrate initiative and independent thinking
• A background and/or interest in symphonic music is desirable
