JOB SUMMARY
Responsible for ensuring that bi-weekly payroll is processed timely and correctly. Communicate effectively with various departments regarding adjustments to the payroll cycle. Also, this position is responsible for the disbursement of vendor payments and employee reimbursements. Other responsibilities will include project involvement with annual audits, budgeting and other year end obligations.
SALARY: $60,000.00 – $65,000.00 Commensurate with experience and other qualifications. This is a non-exempt role.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Payroll
- Analyzes, prepares, and inputs payroll data:
- Processes a bi-weekly payroll to ensure that employees are paid timely.
- Ensures that payroll is processed in compliance with all local and federal tax laws.
- Ensures accurate calculation of wages, tax withholding and any other applicable deductions.
- Works in conjunction with the Human Resources department regarding any staff changes (i.e., Personnel Action Forms (PAF), medical deductions, HSA, etc.)
- Ensure that garnishments, child support orders, and other court ordered deductions are processed accurately and payments remitted as instructed.
- Completes internal and external audits related to payroll.
- Maintains payroll guidelines and updated policies and procedures.
- Reviews monthly, quarterly, and annual tax and unemployment recordsfor accuracy.
- Prepares periodic & on-demand reports for management.
- Conducts new hire orientation related to payroll and 403 (b) processing and entering information on providers’ websites.
- Responsible for recording all payroll related expenses.
- Researches and resolves discrepancies of payroll information and/or documentation.
- Reconciles quarterly 941 tax filings, annual Affordable Care Act (ACA) report and resolves any tax related issues.
- Research and responds to all payroll tax related notices.
- Reconciles payroll general ledger account balances.
- Works with HR on payroll system updates, new configurations, and upgrades
- Responds to staff payroll inquiries.
- Responsible for year-end payroll process (i.e., audits and updates employee info for final W-2’s)
Accounts Payable
- Analyzes invoices and expense reports for accuracy
- Reviews payment requests for compliance to policy
- Ensures invoices and disbursements are processed accurately, timely
- Prepares cash requirement, aging analysis, and other related reports in a timely manner.
- Maintains vendor files in accounting system.
- Receive, research, and respond to staff and vendor inquiries about payments and invoice information.
- Ensures monthly accounts payable close is completed timely and accurately.
- Reconciles various balance sheets.
- Prepares and enters journal entries as needed.
- Files 1099-MISC forms annually and enters related information into vendor files.
- Ensures positive vendor relations and company standards are met.
- Troubleshoot billing issues, vendor disputes and recommend process improvements.
- Prepares accounts payable schedules as required for the annual audit.
- Performs other duties as assigned.
QUALIFICATIONS AND CAPABILITIES
- AA degree with emphasis on accounting and/or business administration or equivalent combination of experience and training that provides the necessary knowledge, abilities, skills, and independent judgment required for position.
- Four to six years of relevant job experience.
- Knowledge of the principles underlying federal, state, and local laws and regulations pertaining to payroll accounting policies.
- Knowledge of principles and practices of accounting.
- Proficient with ADP
- Ability to undertake and independently complete projects in area of expertise.
- Ability to organize, manage time, pay attention to detail, and accurately perform a large volume of transactions while meeting prescribed deadlines.
- Effective oral and written communications skills.
- Maintain a high level of confidentiality.
- Tact and courtesy to maintain effective working relationships with other employees and outside parties.
- Knowledge of Microsoft Excel and Word, Accounting software.
PHYSICAL REQUIREMENTS
- Prolonged periods of sitting at a desk and working on a computer.
- Prolonged periods of standing and extensive walking during conferences and meetings.
- Must be able to lift up to 20 lbs.
